1. What This Covers
These Terms of Use ("Terms") govern your access to and use of the WelcomeVerify™ platform, including the mobile application, website at welcomeverify.com, and any related services offered by WelcomeVerify™ LLC ("WelcomeVerify," "we," "us," or "our"). By accessing or using our services, you agree to be bound by these Terms. If you do not agree, do not use our services.
2. Acceptance of Terms
By creating an account, submitting your information for verification, or otherwise accessing any part of the WelcomeVerify™ platform, you acknowledge that you have read, understood, and agree to be bound by these Terms and our Privacy Policy, which is incorporated herein by reference.
We may update these Terms from time to time. Continued use of the platform after changes are posted constitutes your acceptance of the revised Terms. The effective date at the top of this page reflects the most recent update.
3. Eligibility
To use the WelcomeVerify™ platform, you must:
- Be at least 18 years of age
- Be the actual, lawful holder of the government-issued identification document you submit
- Have the legal authority to enter into a binding agreement under applicable law
- Not be prohibited from using the service under any applicable law or regulation
Submitting an ID that belongs to another person, regardless of their relationship to you, is strictly prohibited and may constitute fraud under federal and state law.
4. Biometric Data & Consent
The WelcomeVerify™ identity verification process involves the collection and processing of biometric information, including government-issued ID images, live selfie images, liveness information, and facial-geometry data derived from them.
Who processes it. WelcomeVerify™ uses Persona Identities, Inc. (“Persona”) as its third-party identity-verification provider. Persona collects and processes the government-issued ID images, live selfie images, liveness information, and facial-geometry/biometric information used for identity verification on WelcomeVerify's behalf. WelcomeVerify does not receive or store the raw government-issued ID images, selfie images, facial-geometry data, or biometric templates. WelcomeVerify receives the verification result and the related transaction and check-in information necessary to operate the service.
Purpose. Biometric information is used for identity verification, fraud prevention, secure guest check-in, and property-access security. WelcomeVerify does not sell, lease, trade, license, or otherwise profit from biometric identifiers or biometric information, and does not use biometric information for advertising or for unrelated marketing or profiling.
Consent. Biometric verification requires your affirmative consent before the biometric verification process begins. The biometric consent notice identifies, as applicable:
- that biometric information will be collected and processed;
- the purpose of the collection and processing;
- Persona as the identity-verification provider;
- the applicable retention period; and
- your consent to the biometric verification process.
You may decline, though verification cannot be completed without it.
Where applicable law requires a separate biometric consent, WelcomeVerify does not rely solely on your acceptance of these Terms of Use as that consent.
Retention. WelcomeVerify does not retain the raw biometric information processed by Persona. Persona may retain biometric information for up to 90 days, subject to applicable law, contractual requirements, and any shorter legally required retention period, after which the information is deleted in accordance with the applicable retention policy.
State biometric laws. Residents of certain states may have additional rights or be entitled to additional notices. WelcomeVerify is designed to comply with the biometric- and consumer-privacy laws applicable where our hosts operate, and, where required by applicable law, provides those notices and obtains consent before biometric information is processed. 5. Identity Verification Process
Our verification process involves multiple steps to confirm your identity:
- Phone verification via one-time passcode (OTP) delivered by SMS
- Capture and automated analysis of a government-issued photo ID
- A real-time selfie compared to your ID photo using liveness detection technology
- Secure handling of the verification result, timestamp, location, and your consent record. These are retained under the rules described in our Privacy Policy — different data types are kept for different periods, and WelcomeVerify does not receive or store the raw ID images, selfie images, or biometric information at all
Verification results are provided to the property manager or host who requested the verification. WelcomeVerify™ acts as a technology service provider; final access decisions remain with the property manager or host.
6. User Responsibilities
By using our platform, you agree to:
- Provide accurate, complete, and current information at all times
- Maintain the security and confidentiality of any account credentials
- Notify us immediately if you become aware of any unauthorized use of your account
- Comply with all applicable local, state, federal, and international laws and regulations
- Not use the platform in any manner that could damage, disable, or impair the service
Hosts, property managers, lodging operators, and authorized property representatives are additionally responsible for:
- using verification information only for legitimate check-in, identity-verification, security, fraud-prevention, or property-access purposes;
- protecting saved Host Check-in Forms from unauthorized access or disclosure;
- retaining saved records only for an appropriate lawful purpose;
- complying with applicable privacy, housing, lodging, fair-housing, accessibility, consumer-protection, and anti-discrimination laws;
- not attempting to obtain raw biometric data through WelcomeVerify; and
- not using a verification result to unlawfully discriminate against a guest.
7. Prohibited Uses
You may not use WelcomeVerify™ to:
- Discriminate against any individual based on race, color, national origin, religion, sex, familial status, disability, or any other protected class under federal, state, or local law
- Submit fraudulent, forged, or altered identification documents
- Impersonate any person or entity, or misrepresent your affiliation with any person or entity
- Attempt to reverse engineer, decompile, disassemble, or derive the source code of our platform
- Scrape, harvest, or collect data from our platform without express written permission
- Introduce malicious code, viruses, or any other harmful software
- Use our platform for any unlawful purpose or in violation of these Terms
Any use of WelcomeVerify™ as a tool of discriminatory screening, including using verification results to selectively deny access on the basis of protected characteristics, is a violation of these Terms and may violate the Fair Housing Act and other applicable laws.
8. Disclaimer of Warranties
THE WELCOMEVERIFY™ PLATFORM IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED. TO THE FULLEST EXTENT PERMITTED BY LAW, WELCOMEVERIFY™ LLC DISCLAIMS ALL WARRANTIES, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.
We do not warrant that the platform will be uninterrupted, error-free, or completely secure, or that any verification result is 100% accurate. No identity verification technology is infallible, and WelcomeVerify™ does not guarantee the prevention of fraud or unauthorized access.
9. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, WELCOMEVERIFY™ LLC AND ITS OFFICERS, DIRECTORS, EMPLOYEES, AND AGENTS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING LOSS OF PROFITS, DATA, OR GOODWILL, ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF THE PLATFORM, EVEN IF WE HAVE BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
In no event shall WelcomeVerify™ LLC's total liability to you for all claims exceed the amount paid by you, if any, for access to our services in the twelve (12) months preceding the claim. These limitations apply only to the extent permitted by applicable law.
10. Subscriptions & Billing
The WelcomeVerify™ app is free to download. Hosts may optionally purchase a subscription or a one-time verification through an in-app purchase. Guests are never charged.
Payment is handled entirely by the app store — Apple In-App Purchase on iPhone and iPad, or Google Play Billing on Android. WelcomeVerify never receives, stores, or processes your card details.
Auto-renewal. Subscriptions renew automatically for the same period at the then-current price unless cancelled before the end of the current period. Renewal timing, the cancellation deadline, and any refund are governed by the rules of the app store that sold the subscription (Apple or Google), which may differ between platforms and may change. Check your app store's current terms for the deadline that applies to you.
Managing or cancelling. You can view, change, or cancel a subscription at any time in your app store account settings — on iPhone: Settings › your name › Subscriptions; on Android: Google Play › Payments & subscriptions. Cancelling stops future renewals; it does not retroactively refund the current period. Deleting the app does not cancel a subscription.
Refunds. Because purchases are processed by the app stores, refund requests are handled by Apple or Google under their own policies, not by WelcomeVerify.
Verification allowances. Each plan includes a set number of guest verifications per billing period. Unused verifications do not carry over to the next period. We may change plan pricing or included allowances on reasonable notice; changes never affect a period you have already paid for.
11. Fair Housing Compliance
WelcomeVerify™ is committed to fair and equitable use of identity verification technology. Our platform is designed and intended to be used in full compliance with the Fair Housing Act (42 U.S.C. § 3604), the Americans with Disabilities Act, and all equivalent state and local fair housing laws.
Property managers, landlords, and hosts who use WelcomeVerify™ are solely responsible for ensuring that their use of our platform and the verification results they receive comply with all applicable fair housing and anti-discrimination laws. WelcomeVerify™ LLC does not make housing decisions and is not responsible for how property managers apply verification results, to the extent permitted by applicable law.

12. Governing Law
These Terms are governed by and construed in accordance with the laws of the State of North Carolina, without regard to its conflict of law principles. Any dispute arising from or relating to these Terms or the WelcomeVerify™ platform shall be subject to the exclusive jurisdiction of the state and federal courts located in North Carolina, and you consent to personal jurisdiction in such courts, except where applicable law provides otherwise.
Some jurisdictions do not permit certain choice-of-law, venue, or dispute-resolution provisions to be waived. Where that is the case, those provisions apply only to the extent permitted by the law that applies to you, and the remainder of these Terms continues in effect.
13. Role of WelcomeVerify
WelcomeVerify™ is a technology platform. We facilitate identity verification, guest acknowledgments, recordkeeping, and communication between hosts and guests. We are not a party to any reservation, rental, or occupancy arrangement between a host and a guest, and we do not determine the legal status of that arrangement.
Nothing on this website, in the WelcomeVerify™ application, in any check-in form, or in these Terms is legal advice, and none of it should be relied upon as a substitute for advice from a qualified professional.
Legal status of the Host Check-in Form. A Host Check-in Form is an additional record of the check-in between the host and guest — it records what a guest acknowledged and when. It is not intended to create a lease or tenancy, does not constitute legal advice, and does not determine or guarantee the legal status or rights of an occupant. Any rights and obligations relating to occupancy are governed by the applicable booking or reservation terms and the law of the jurisdiction where the property is located. For disputes, extended stays, or questions concerning occupancy rights, the host should consult the applicable booking platforms and seek legal guidance when appropriate.
Retention of Host Check-in Forms. Completed Host Check-in Forms are retained by WelcomeVerify for up to 48 hours after check-in. If the host does not elect to save the form for future use during that period, the form is automatically deleted from WelcomeVerify systems. If the host chooses to save the form, the form remains available within the host's account until the host deletes it or another applicable retention requirement applies. Hosts are responsible for appropriately protecting and managing forms they elect to save.
Hosts are responsible for complying with the laws applicable to their property, including short-term rental, licensing, tax, housing, and consumer-protection requirements. Users are responsible for the accuracy of the information they provide.
14. Electronic Signatures
Signatures captured through the WelcomeVerify™ platform, whether drawn with a finger or typed, are intended to constitute electronic signatures under the federal Electronic Signatures in Global and National Commerce Act (E-SIGN) and comparable state law. By signing, you agree to transact electronically and confirm that the signature is your own.
You may request a copy of a form you have signed by contacting us at the address below. Because guest check-in records are deleted within 48 hours and a Host Check-in Form is deleted at that point unless the host saved it, a copy may no longer be available from WelcomeVerify after that period — the emailed copy sent to the host at check-in is the durable record, and guests are prompted to save their own copy. You may withdraw your consent to transact electronically, though doing so may prevent you from completing check-in through the platform. Certain records and certain jurisdictions may impose additional requirements for electronic signatures; where they do, those requirements apply.
16. AI Chat & Automated Assistance
WelcomeVerify™ may provide an AI-powered chat or automated assistance feature on the website to help you navigate the site, understand features, find general information, and obtain basic support. Information you enter may be processed by WelcomeVerify and its technology service provider(s) to generate a response, provide support, maintain security, troubleshoot, and improve service quality where permitted.
Do not enter sensitive information into the AI chat unless the feature specifically requests it for an authorized purpose — including government-issued identification numbers, copies of identification documents, Social Security numbers, payment card information, passwords, access codes, biometric information, or facial images.
The AI chat is not the identity-verification system. Government-issued ID images, live selfies, liveness information, and facial-geometry/biometric information are processed through the authorized WelcomeVerify verification flow and Persona, not through the website AI chat.
Responses may be automated and may not always be complete, current, or accurate. They are provided for general informational and support purposes and do not constitute legal, financial, housing, compliance, or other professional advice. Verify important information through the relevant WelcomeVerify policy, account feature, support channel, booking platform, or a qualified professional before relying on an AI-generated response.
